Blog > Back to Basics: 5 Basic SAP Business One Features SMEs Need to Know
Whether you are a new or experienced SAP Business One user, knowing some of the standard features found in SAP Business One can help ensure you get the most out of your investment. As a new user, understanding the features will provide a foundation for understanding the more advanced features found is SAP Business One. For experienced users, going back to basics may uncover features not yet discovered and refresh your memory on features available to you.
No matter your user experience level, here are 5 features that every small to midsized business should know about:
1) Personalized Menus
SAP Business One users can determine which modules and menu options will be displayed for your main menu once you log into Business One. This done by going into Form Settings -> Main Menu and checking and unchecking which modules you wish to have visible. This simple feature is beneficial because it removes all unwanted modules that are not relevant to your role, allowing you to quickly access only modules that are important to you. Additionally, authorizations can be applied to specific user accounts allowing or denying access to certain modules for added security.
2) Function Keys
Under Tools, My Shortcuts then Customize, users are able to assign custom function keys F2 through F12 to your most used transactions. Once assigned you can start these transactions simply by hitting the respective function key no matter where you are in the Business One solution. These transactions include any feature available under and module, for example, under Purchasing - A/P you can assign the F2 key to open a Purchasing Reports display window immediately.
3) Drag & Relate
Dragging and relating is effective in linking two business object together to create a query. Dragging data from an item master record to a module feature available in the main menu shows you all available data for that item. For example, dragging a Item Number to the Sales Quotation feature will display any sales quotations currently entered in the system for that item number.
4) Online Help and System Message Log
SAP Business One offers a variety of help and support resources to ensure you are never stuck while using the solution. For Online Help, you are given a variety of options. The first option is to press F1 to display context-sensitive help; that is, help about the particular screen you are on. The second option is to use Shift + F1 to get field context help; help about a particular field you are currently using. The third method is to select Help Desk -> Support Desk -> Find a Solution from the main window menu bar which displays the SAP Library window were you can customize your search by keyword.
The System Message Log also offers Online Help that is specific to the message displayed. The System Message Log shows all system related messages such as errors, warnings, completions, etc. and by clicking the Help URL you can search for information speific to that system message.
5) General System Display Parameters
For smaller cosmetic, organizational and personal preferences, under Administration -> System Initialization -> General Settings you can change various display parameters such as: language, color, default length and width unit, date and time format, currency display orientation and decimal separator.
